Hi pam:

Terry is purchasing a new home as a rental. It will need to be placed on her commercial policy, CL503154.

The address is 163 West 4th Nucla, CO 81424. It is a frame house with metal roof. Yr of Const. is 1990 coverage amount is $100,000 SQF is 1100.

Please submit a change adding this home. Please add the dwelling to the property section, and please also add this location to the liability section. The liability code that you need is 63010.

Please also add three outbuildings to the property section at this same location:

1) carport: $8000

2) Storage bldg: $4000

3) Guest Room: $10,000

I just took an educated guess on the premium and quoted her $280. We really won't have the exact answer until the change is processed (and who knows how long that will take).

Her mortgage CO. is CTX Mortgage Attn: Marilyn Woods. Tel: 256-1904 and fax: 256-0087. I called her. She is going to fax over an evidence of insurance request.

If you could follow-up on this, it would be a great help.

Pam: I had an annual review with West Slope Ag today. No changes were noted. Home office is requesting a current list of drivers. They said that they will provide that.

Could you just send them out a letter acknowledging the review, and (if we haven't received already) ask them to send an updated list of drivers. Please thank them profusely for their business. They are very good customers.

Update: 11/02 Pam They faxed over the driver's list. I will put it on  your desk. Unfortunately, they forgot to put Leslie and Eldon's info on the list. However, their info should already either be in our file, or in the file at home office. I guess you could look through the policy to see (old acord forms) if the driver info for Leslie and Eldon is there. If so, just add it to the list. If not, just ask Gail to look for it @home office. Any questions, just let me know. Thanks!

Pam: I will put Jose's HO file back on your desk. His signed application is in the file along with copies of the quote from Lezette. Could you please go ahead and and get the policy started. We have to bill the mortgage Co. (Chase) and their address, loan #, etc are in Jose's old FB HO policy. (A copy of the OPSS printout should be in the file too).

I don't know if we can submit without payment since it is coming from the mortgage co or not. if not, we may have to bill the mortgage co, and then wait until payment is received before sending the application off.

Pam: Joey Wheeler's policy AU425745 is kind of messed up. It looks like there is an old change that hasn't been done yet. (check OPSS notes) and her son, John is still listed as a driver. In fact, they have him as the reated driver. We tried to get him his own Progressive policy earlier this year, but he never would return phone calls, and we finally just left it as it is.

Can you please call John @970-275-6705 and see about getting him a quote on his own insurance. I have left him a message already. But my experience is that he doesn't return calls well. If we haven't heard from him in a few days, I suggest that we simply take him off from the policy, and send him a notice.

Could you please be kind enough to call Joey and let her know where things are at? A call to her is kind of urgent as she is waiting to pay her bill. If you haven't heard from John, my suggestion is that you tell Joey that we are going to drop John from the policy, and then we can send him a letter to that effect to cover ourselves.

When you do the change to remove John, I suggest that we re-arrange the drivers to put either Joey or William as driver on the CHevy Blazer. Let me know any questions. Thanks,VM

Apparently, Peter Estep's membership has expired, and they need new membership for the new policy that you recently arranged for them. I don't know if we collected $40 or not, but we might have to.

Linda in the commercial dept is urgently looking for a membership certificate. I will forward you the e-mail. Could you please take care of that for me? I think they need it before the end of the month.

Pam: I got a call yesterday from Ralph Robles. He was all excited. His SR22 is now gone. This brings up 2 things:

 1) I think he is with Progressive. If so, we need to do a change to remove the SR22 surcharge.

2) With no SR22, perhaps it would be a good time to see if we can save him money by moving his policy to Farm Bureau.

Hi Pam: Cindy Lopez sent in a check for her homeowner's insurance. The policy is HO534548. It lapsed about a week ago. I will put the check on your desk. I believe that she has probably spoken to someone here in our office about it, but I am not sure of who. Could you please contact home office, and see do we reinstate w/out lapse? do we need a no loss?  Please see what you can do to get this policy reinstated. She is a very good client... a keeper. Pam: This is kind of a long story, and, confidentially, I am not certain that it has been handled correctly by home office or by Karen at Gary's office..bless her heart!

This is an old case, and as best as I recall, these are the details:

Many months back, (i believe while we were still in the other building), Karen Sutton came in to pay her HO policy. Well, somehow, the payment ended up getting applied to the AU policy. Karen at Gary's has asked for the payment to be transferred, back over to the HO policy,  and assumed that it had been done, but apparently it never was.

So, the HO policy lapsed, and Suttons never knew it. It appears that somehow Karen Sutton finally realized the HO policy was lapsed, and called Karen (now at Gary's office) about it. Karen re-wrote the HO policy and submitted it. (copy to your desk). Suttons also deleted an auto from their AU policy (which I believe is paid up in full). The deleting of a vehicle should generate a refund. Karen at Garys has asked H/office to transfer the refund to the HO policy. THis was done with a note in the remarks of the AU change.

I'm thinking that in spite of Karen's well-meaning efforts, this isn't likely to work out. I think we need to figure out how to get this worked out in the meantime. Could you begin by checking with HOffice...perhaps accounting/Cash Control to see if the refund could in fact be applied to the new HO policy.

Also, who is supposed to pay the HO? Is it paid by mortgage co, or by the Suttons. If paid by mortgage, did they pay? Should we bill them for the new HO policy?

Sorry this is kind of confusing. Suttons have been very good customers, and are no doubt a little frustrated by this all. Can you please check and see where we are at, and what can be done?

Carol Ray came in today. She was checking on the policy for her son, Taylor. He has a Foremost policy and she wants to see what the premium would be like if we reduced the coverage to fire only, as a way to reduce the premium. I don't know if this is possible with Foremost. Could you please check with them? Is it possible to reduce the peril group without switching to a different insurance form?

She would really like to rewrite the policy thru Farm Bureau. I have e-mailed the request to Charlene, but I doubt that she will approve.

Hi Pam: I need your help! David Roberts has a new CL policy. The policy number is CL507213. This is for a new rental unit of his. After I submitted the application, I realized that I had left off one building, and I submitted the second page of the Acord 140 (property section).

When commercial dept got this second page, they were very confused, about why I was sending a second appliciation in when the first one had already been issued (I didn't realize that they had issued it so quickly!).

I think that we need to submit that second building as a change...not an application to get them on the same page.

Also, Sandy (his wife) called me today. She got a cancelation notice for this policy. The mortgage Co. had paid the premium (over-paid it in fact) and I sent the mortgage co check along with the application. OPSS is showing zero premium submitted with this application. Where is the money?

Also, the address on the policy is incorrect. It should be PO Box 729 Delta, CO 81416. Can you please also correct this? Sandy would like a list of all of her policies, and what each covers so that when shse gets bills, she can tell which item she is paying for.

This is a lot of stuff all at once, and I can fill you in on details as needed. Thanks, VM

Pam: Outbuilding is still a problem. I discussed this with Charlene. Please ask me for details. I could use your help with this change.

Basically, Charlene is saying that since the outbuilding is used for 'farming' that we cannot use the homeowner's extension coverage. We need to schedule the building as a separate out-building. Could you do that for me please? Let me know if you have any questions.

Scott came in today for his annual review - thanks for sending the letter. Could you do me a favor please and help me with the review follow-ups?

I will put the file and notes on your desk. Please feel free to ask me if you have any questions.

Basically, the changes are as follows:

1) delete animal collision and drowning

2) Remove business pursuits (liability endorsement)

3) Change UFPP (see worksheet). Please let me know the increased premium before submitting the change. He wants to know. And one important thing is that he has a John Deere baler that needs to have evidence of insurance sent to John Deere. He said that was supposed to have been done last year. I couldn't see that it was....Probably the best thing to do would be to call Delta Implement Company here in Montrose. Ask for the credit department. Find out the lienholder address for John Deere credit and where to send evidence of insurance. Then, please send it before they charge him for the extra insurance.

Once the changes are done, please send me our usual follow-up letter outlinining the changes that were done.

I'll put those files back on your desk.  I spoke with Ed. He wants to insure the 1973 Hillcrest as owner-occupied. The other one does not need insurance. I quoted him the quote per your note which was correct! He is mailing us a check for the down payment. We should probably fax him a Foremost app to sign. I don't know where to get a blank app...possibly from their website. The blank app we have in the file is for a rental mobile home. If you have any questions, just let me know.
